Summary

Reporting to the Director, Brokerage Services, the Lead, Brokerage Services oversees brokerage workflows, ensures reporting accuracy and compliance, and provides leadership and mentorship to the team. The role focuses on enhancing processes, strengthening data quality, and maintaining strong relationships with insurers, MGAs, and both internal and external partners and stakeholders. The Lead also manages day-to-day service for key Subscribers and brokerage insurance programs, including handling coverage inquiries, policy changes, and renewal negotiations with insurers and Subscribers.

Duties and Responsibilities

Brokerage Administration Leadership

  • Lead the day-to-day operations of the brokerage services function, ensuring accuracy, efficiency, and compliance across all administrative activities.
  • Oversee brokerage administration processes, including renewals, endorsements, and documentation management.

System Implementation and Management

  • Serve as the primary business lead for the implementation and ongoing optimization of HIROC’s new Broker Management System (BMS).
  • Collaborate with IT, vendors, and internal stakeholders to ensure successful configuration, data migration, and integration with related systems.
  • Develop and maintain process documentation and user training materials to support BMS adoption and best practices.

Reporting and Data Management

  • Manage the preparation and submission of monthly bordereau and claims reporting, ensuring accuracy and timeliness.
  • Oversee reporting to insurance partners and internal stakeholders as required.
  • Identify opportunities to enhance reporting efficiency and data quality through system and process improvements.

Process Improvement and Compliance

  • Review and refine brokerage workflows to enhance efficiency, standardization, and compliance with regulatory and contractual requirements.
  • Support audit and compliance activities and ensure records and documentation meet regulatory and internal standards.
  • Partner with other HIROC teams (e.g., Insurance Services, Finance, Claims) to strengthen coordination and data accuracy.

Relationship Management

  • Maintain positive relationships with insurers, MGAs, and service providers to support operational excellence.
  • Act as a key contact for internal stakeholders seeking guidance on brokerage procedures and reporting timelines.

Supervision of Brokerage Staff 

  • Providing coaching, mentoring, and training to a team to develop their service capabilities.
  • Assist in the recruitment, mentorship, technical instruction, and guidance of all team members.
  • Responsible for talent management including performance appraisals, training, and mentorship.
  • Complete regular coaching sessions with all team members including review of performance, objectives, and career development.

Collaboration 

  • Within the Insurance Services team, work closely with other Leads on strategic projects such as new policy lines, alternate risk transfer programs, coverage enhancements, system updates, emerging trends and process/workflow improvements.
  • Collaborate with other departments at HIROC to meet operational and strategic goals.
  • Process re-engineer existing workflows and processes to ensure consistency and efficiency across the Insurance Services team.
  • In collaboration with Lead, Underwriting and Lead, Account Operations, facilitate training for the team, as required, to maintain underwriting quality to ensure accuracy and consistency with HIROC’s rating methodology and data quality.
  • Represent HIROC at industry and company functions

Provide day-to-day Account Management for Key Subscribers

  • Maintain relationships with key Subscribers that have been assigned including leading day-to-day tasks such as coverage queries, contract review and policy changes.
  • Lead renewal of assigned brokerage programs
  • Complete file reviews to ensure potential coverage gaps are addressed.
  • Other duties as assigned 

Education, Training & Experience

  • University Degree or equivalent experience
  • RIBO licence or ability to obtain
  • Preferred candidate would have, or be working towards, industry credentials such as CIP/FCIP, CRM, RPLU, CAIB
  • 8+ years of relevant experience in a commercial insurance brokerage 

Working Conditions

  • Hours of Work: Monday-Friday 8:30AM – 4:30PM
  • Hybrid work model
  • Normal working conditions in an office setting
  • May be required to attend after-hour functions/meetings, and occasionally work after hours
  • Some inter and intra provincial travel required – Subscriber visits, presentations, conferences, and courses 

Salary

  • $125,000.00 - $145,000.00
